What health and safety guidelines will be in place to protect people who attend?

Why did the NSC Health and Safety Event Management Procedure recently change?

The general health of our attendees maintains our top priority. NSC continues to evaluate the COVID-19 pandemic and the level of risk to our employees, customers and visitors, their families and the community at large. The risk of serious illness or hospitalization as a result of COVID-19 infection has significantly decreased in the US over the last several months. Therefore, after consulting the latest CDC guidance, we adjusted our procedures to align with the current situation while creating a safe and inclusive event experience.

Is a negative COVID-19 test result or proof of vaccination required for entry to the event?

Yes. Everyone exhibiting, attending or participating in NSC-affiliated meetings must provide a negative COVID-19 polymerase chain reaction (PCR) test result taken within 72 hours of the start of the event or provide proof of full vaccination by uploading an image of a government issued COVID-19 Vaccination Record Card. Attendees are considered fully vaccinated two weeks after their second dose in a two-dose series (such as the Pfizer or Moderna vaccines) OR two weeks after a single-dose vaccine (such as Johnson & Johnson’s Janssen vaccine).

Why does proof of vaccination serve as an alternative to testing?

Vaccinations are an effective method of preventing contraction and transmission of COVID-19. Breakthrough cases in vaccinated individuals are rare and vaccinated individuals are less likely to pass on the illness to others if they are infected, according to the CDC.

What kind of tests are accepted for entry?

PCR test results are required for entry into the event. We encourage all attendees to make proper arrangements as it may take several days to receive your results. We are requiring a negative test result within 72 hours of the event.

Will you offer on-site COVID-19 testing?

No. Onsite testing will not be available.

Am I required to wear a face covering/mask?

At this time, you are not required to wear a face covering/mask. NSC is aligned with CDC guidelines and will base requirements on event location and community risk. Attendees should be prepared to wear a properly fitting face covering, as face coverings may be required if community risk of COVID-19 is “high.”

Is there a COVID-19 risk waiver?

Yes. During the registration process all attendees, exhibitors and speakers must confirm understanding and acknowledge the risk of exposure and contraction of potentially dangerous diseases, including COVID-19, by attending the event. All must also agree to release NSC of any liability related to attendance.

What is CrowdPass?

CrowdPass is a health-clearance platform. Their intuitive web application is used for clearing attendees through the uploading of negative test results and/or full vaccination proof. CrowdPass' hosting server Heroku, is not only HIPAA compliant, but also has the following certifications: ISO 27001, 27017, 27018 as well as SOC 1, 2, and 3 Certified. You can rest assured that your data is safe and secure. In addition to the hosting server, the event host will not have access to see your private medical records on our system. Only trained staff will be able to review and approve. Within 30 days of the event's completion all of your data will be wiped from the database.

My company does not allow me to download an app on my phone. Do I have to use CrowdPass?

CrowdPass offers their service through a web platform that does not require any downloads for use. All attendees are required to submit their information through CrowdPass.

Will the augural 2022 NSC Midwest Safety Conference & Expo meet in-person?

Yes, at this time the augural NSC Midwest Safety Conference & Expo will be held in-person. We are closely monitoring developments, mandates and best practices from the Centers for Disease Control and Prevention (CDC), the World Health Organization (WHO), local public health officials, and the Indiana Convention Center in Pittsburgh for guidance on how best to ensure the safety and health of all exhibitors, attendees, partners and staff on-site at the show. A detailed plan will be communicated closer to the show.

Where is the Expo floor and what are the hours?

The Expo floor is located in the Indiana Convention Center.

Can I obtain Continuing Education Units (CEUs) for participating?

Yes, please review the Continuing Education Units information page.

Is there an age limit to attend?

Yes, no one under 16 years of age is permitted to attend or be on the Expo floor regardless of affiliation or circumstances. Proof of age is required.

What is the dress code?

The dress code is business casual.

Can I bring a spouse or guest?

Yes, you are welcome to bring a spouse or guest. They must register as an attendee and pay the current rate at the time of registration.

Is the Professional Development Seminar included in the registration fee?

No. Professional Development Seminars (PDS) require a separate registration fee.

When is the Professional Development Seminar held?

The Professional Development Seminar will take place Wednesday, June 8 from 8:00 a.m. - 4:30 p.m. at the Indiana Convention Center.

How do I receive my registration confirmation?

Once your registration is complete, confirmation will be immediately sent to the email address you provided.

I registered, but would like to add additional events to my registration. How can I do that?

Please review registration confirmatin email for directions on how to update your registration.

When will I receive my badge?

Badges will be distributed onsite at the Scan & Go Counters in Lobby J registration area of the Indiana Convention Center.

What is the NSC attendee registration cancellation/refund policy?

Cancellations received in writing on or before Friday, May 13 will be assessed the following cancellation fees: $50 for Conference & Expo and Expo Only; $25 for Professional Development Seminars (PDS). All cancellation requests must be emailed to MidwestSafety@xpressreg.net; phone calls will not be accepted. Cancellations received after Friday, May 13 and no shows are non-refundable.

For Substitutions/Name changes call 774-247-4041 or email MidwestSafety@xpressreg.net. Changes can be made until the badge has been printed and verified. Discounts are not retroactive for previously registered attendees.

I lost my badge. How do I replace it?

Lost badges will be replaced at the Onsite Registration Desk located in Lobby J for $25.00 per badge. For identification and security purposes, badges must be worn at all functions.

I can no longer attend. Can I send a substitute?

Can I view the Exhibit Hall floor plan to see what space is still available?

What is the standard booth size? How much does it cost?

The minimum booth size is 10' x 10' (100 square feet). Booths may be combined to create a larger space.

Exhibit Space Application must be submitted in order for booth to be assigned and invoice for full payment will be generated.

What furnishings come with my booth?

Inline Booth – (each 10’ x 10’) - Includes 8' high draped back wall with 36" high draped side rails, a 7' x 44'' ID sign with company name and booth number, one table, two chairs and one trash can.

Peninsula Booth – (20' x 20') – Includes an 8' high x 20’ wide back wall drape on common back wall and a 7'' x 44'' ID sign with company name and booth number, two tables, four chairs and two trash cans.

All booths also include company listing in the 2022 NSC Midwest Safety Conference & Expo (MWCE) website, Digital Final Program and complimentary Exhibitor Guest Passes.

All utilities and cleaning must be ordered separately through the Convention Center. Additional items/services such as material handling, shipping, furniture, labor, and other services can be ordered through our general contractor.

What are the height restrictions for my booth?

In-line booth: Most commonly 10’ wide and 10’ deep. No exhibit display products or signage may exceed 8’ in overall height. The maximum height of 8’ is permitted on the back 5’ section and a maximum height of 4’ is permitted on the front 5’ section. No hanging signs allowed.

Peninsula booth: A Peninsula booth is 20’ wide by 20’ deep and shares a common backwall with other booths. Exhibit fixtures, components and signage built from the ground up will be permitted at a maximum height of 16’, without any sidewall line of sight restrictions. No signage is permitted on the backside of the backwall facing your neighbors. Backwalls must be finished or draped at the exhibitor’s expense. No hanging signs allowed.

Where can I refer to for answers to questions about fixtures, electricity, shipping, etc. for my booth?

Can I sell merchandise directly out of my booth?

Sales on the Expo floor are not recommended. However, you may take orders. If you choose to sell product, you are responsible for collecting and reporting local and state taxes to the Indiana Department of Revenue. The City of Indianapolis may also require you as an exhibitor to obtain a business license.

What is my move-in date?

Move-in date is Wednesday, June 8. All booths must be complete by 4:00 p.m.

How do I order staff badges?

Registratio will be available February 2022.

How many booth staff badges do I receive?

Each 10’x10’ booth is entitled to 2 Expo only badges and 1 Full Conference badge (allows admission to education sessions) for your staff. Add’l badges may be purchased.

How do I order lead retrevial?

Lead Retrieval information is contained in the Exhibitor Service Manual be available February 2022.

Can I purchase the National Safety Council member list?

No, the National Safety Council member list is not for sale.

Do you have to be registered to make a hotel reservation?

No, you can make your hotel reservation first and then register later.

At what hotels are discounted room rates available?

NSC has contracted discounted hotel rooms at the Indianapolis Marriott Downtown, across the street Convention Center from Tuesday, June 7 - Friday, June 10 at the standard room rate of $219 per night plus taxes. Book today!

Is there a deposit due at the time of reservation?

A deposit equal to the first nights room and tax will be charged at the time a guest makes a room reservation, and upon check-in, will be applied towards the guest’s bill. Deposits paid by guests are refundable if notice is received by the hotel at least 72 hours prior to arrival and a cancellation number is obtained.
